At 8 months out you may have a dozen open threads: caterer A, photographer B, a friend's DJ pick. Each quote lives in a different email.
When we interviewed Fiancé couples, the top budget overrun was not luxury: it was "I forgot that 400 € option in quote v2".

What a good vendor file should hold

Contact (name, email, phone, website)
Quote received with date and total incl. tax
Status: prospect, quote pending, booked, declined
Next action: follow up, sign, deposit
Notes: inclusions, exclusions, weather clauses

Common mistakes

Comparing caterer "per guest" with photographer "day rate" without a total
Forgetting travel fees or overtime hours
Not tying deposits to the budget calendar

How Fiancé can help

Fiancé replaces the vendor spreadsheet: records by type (caterer, photo, DJ…), statuses, amounts, and a direct link to the budget module. Start with the online budget calculator if you do not have the app yet.
